OCTOVO

OCTOVO is built for the self-employed and businesses of one to ten people who have no front office but a full mailbox — and especially for professions where data must not leave the device.

Who it’s for

For everyone with no front office but a full mailbox

For businesses of one to about ten people — where mail, appointments and receipts pile up on top of the actual work.

So there’s no misunderstanding: OCTOVO is new and has no customers yet — which is why there is not a single customer quote here. The days below are built from the product concept.

Sie du Sie wer wen duzt, steht dran

Each card says who is on first-name terms with whom.

Who works with it

  • The self-employed and small businesses The core group: no front office, but mailbox pressure every day.
  • Trades, agencies, practices Recurring correspondence with fixed patterns — enquiries, quotes, appointments.
  • Law and tax firms Because the data does not leave the device and the record is gapless.
  • Busy private people Authorities, insurers, family organisation — the same tools, a different occasion.

Three days up close

  1. The overview is waiting

Twelve new emails, three of them matter. Two appointments, the first at 9:30 — the estimated drive in between is already accounted for. Bauer & Sons’ enquiry has been waiting since Friday.

  2. Two approvals, two minutes

One appointment confirmation it has already sent itself. Two replies sit there ready, each with a one-sentence reason. One you approve, one you change.

  3. A quote from the car

“Send Mr Bauer last week’s quote with the new price for item 3.” It edits the Word document in place, saves the previous state and puts the draft in front of you.

  4. Closing time means closing time

Quiet hours begin. Nothing more is sent, nothing rings — unless someone is on your priority list.

How it handles the calendar

The morning

One morning in detail

The four cards of the morning overview, written out in full.

  1. 12 new emails

3 of them matter, 4 were ads. Those it cleared away.

  2. Two appointments

The first at 9:30 — the 25 estimated minutes of travel it counts in itself.

  3. One thing waiting

Bauer & Sons’ enquiry has been unanswered since Friday.

  4. Two drafts

Waiting for your approval, both with a reason attached.

What it does with your mail

Example 2

A Wednesday in a trade business

Four people, and office work nobody really does. Four places where OCTOVO steps in.

Angebote, Rechnungen

On the workbench lie quotes and invoices.

  • Enquiries

Six enquiries through the contact form, three of them with no word on scope or dates. OCTOVO asks back politely for budget, timeframe and location — and files every thread as an open matter.

  • Following up

Quotes nobody has answered in ten days it puts in front of you with a finished two-liner. That is the revenue that otherwise slips away.

  • Receipts

Fuel receipts, hardware store invoices, workshop bills — photographed, recognised, named, in the folder. At the end of the month the folder goes to the accountant, after your approval.

  • In the evening

What it did during the day is in a list. Not as figures, but in sentences: “I sent three questions back and filed two invoices.”

Sentences from the trades

Example 3

A law firm, a practice, a tax office

For employers, one thing more: on a work device, screen watching is not permitted without a works agreement (§ 87 Abs. 1 Nr. 6 BetrVG). OCTOVO points this out when you switch it on, instead of letting you find out.

Where the data sits

Where the file stays
Client mail, documents and contacts sit encrypted on the device. We have no copy, no remote access and no technical way in.
What goes out
For a single question, an excerpt goes to the language model — never the file, never the mailbox as a whole. The route is on the security page, station by station.
The paperwork to go with it
Data processing agreement, sub-processors with location and purpose, deletion periods: all fully written out and concluded with the purchase.
The lock for § 203
In professions bound to secrecy, screen watching is locked and has to be unlocked individually. It is off by default anyway.
The record
The log is gapless, exportable and undeletable — including for the accountability duty under Art. 5 Abs. 2 DSGVO.

Honestly

Who OCTOVO is not for

  • For large organisations with their own IT. No central administration, no roles across a hundred seats, no running it in your own data centre.
  • For computers that are off. If your device is off, nothing happens — it catches up at start-up. If you need automation around the clock, you need something else.
  • For mass mailing. Cold outreach and bought lists: doesn’t work, isn’t meant to. Past 20 recipients per message, that’s the end.
  • For private WhatsApp automation. Meta doesn’t allow it. It drafts the reply, sending is on you.
